Wait, these look different? 🤔

Take a breath. You didn’t break anything.

QuickBooks moved everyone over to what they call modern view, and the reports got a new look.

The worry I hear most is some version of “where did everything go?”

Everything you need is still there. It just moved around a little.

In this training, I’ll walk you through the new view so it stops feeling foreign, and then I’ll show you the three reports every business owner should be checking.

Because knowing your way around these is what lets you understand what’s happening in your business, instead of just hoping it’s all okay.

 

Before we get into the three reports, one small comfort.

If you’re staring at the new layout wondering where the classic view went, it’s still there. QuickBooks tucked it behind the three-dot menu at the top.

So if you ever want to flip back, you can.

But here’s my honest nudge: give the new view a real chance.

Change feels uncomfortable at first; that’s just being human. The more you use it, the more natural it gets.

And the customizing tools are nicer once you know where they live.

 

Making a report your own.

When you click customize, your filters, your number formatting, and your visuals all live in one place.

You can choose exactly what shows up, whether that’s a certain type of account, a specific customer, or one product or service.

You can format the numbers so the math is easier to read, show negatives in red, even add your logo and decide what goes in the footer.

And a favorite little tip: once you have a report set up the way you like it, save it.

Give it a name, and it lands under your customized reports, ready the next time. Star the ones you reach for most so they are always easy to find.

The three reports every business owner should check:

Here’s the part I really want you to walk away with.

There are three reports that tell you almost everything about the health of your business, and most owners never look at all three.

 

Profit and Loss

This one tracks your income and your expenses over a stretch of time.

There’s a little toggle up top that almost nobody talks about: cash versus accrual.

On cash, you’re seeing money that has come in and gone out. On accrual, it shifts based on the invoices and bills you’ve created.

Knowing which one you’re looking at matters more than you’d think, because the same business can look very different depending on that one setting.

 

Balance Sheet

Where the Profit and Loss covers a period of time, the Balance Sheet is a snapshot of one single moment.

It shows what you own (your assets, like your bank accounts and the money people owe you), what you owe (your liabilities, like credit cards and loans), and your equity.

This is the report you want to check before a tax appointment, or before you ever go ask for a loan.

 

Statement of Cash Flow

This is the one that fills in the gaps.

It shows you where your cash actually went.

Did you pay down a credit card? Cover payroll taxes? Where did your cash start, and where did it end up?

It paints the picture the other two can’t quite show on their own.

Pull those three, and you go from guessing to knowing.
