Have you been using QuickBooks for a while, but when you open it up, something may feel off? 🙄
It comes down to this.
QuickBooks may never have been set up right from the beginning, and that’s more common than you’d think.
Let me walk you through the five signs to check, so you know exactly which areas of QuickBooks you need to be revisiting.
Why Your Bank Balance Doesn’t Match QuickBooks
This is usually the first sign something’s off.
Your actual bank balance and your QuickBooks balance just don’t line up, even after you reconcile.
That usually points to duplicate transactions, entries that never got added, or something entered wrong along the way.
Signs Your Profit and Loss Doesn’t Look Right
Pull up your profit and loss and look at your accounts one by one.
If income looks too high, or expenses are showing up in strange places, that’s worth a second look.
This one usually traces back to a chart of accounts problem, or transactions landing in the wrong category.
A Pile of Uncategorized Transactions in QuickBooks
If “Uncategorized” or some kind of catch-all category is doing most of the work in your books, your reports can’t actually tell you much.
The fix is getting transactions into real, meaningful categories, ones that reflect what’s actually happening in your business.
Feeling Afraid to Touch QuickBooks
If you hesitate every time you go to enter something, worried it’ll come out wrong, that fear is rarely about you.
It’s almost always a sign the foundation underneath isn’t solid yet.
Once that gets fixed, the fear usually goes with it.
When Your Accountant Fixes Your Books Every Year
If your tax professional has to go in and clean things up before they can file, that’s worth paying attention to.
I explain exactly what this usually means, and what it’s costing you, in the video above.
I walk through all five of these with real examples on screen in the video above, so make sure to watch it for the full picture.

Coming into a new company who has QBO for over 10 years and it was not set up correctly at all. Having to go through all the charts of accounts and clean up the abundance of accounts that are not needed. ugh it’s a lot. Having the current HR person being trained correctly and watching your videos. Thank you for your talent and sharing with us all.

Candace,
I would love to set up my own biz quickbooks to check if my accountant is doing my books correctly- I’m not good with this program as in the past I chucked it from frustration.
Do you feel I should do this or just set up my bookkeeping and fire my accountant? She’s caused me some issues in past.
Hi Beth,
Thank you for reaching out.
It’s really up to you. If having your own QuickBooks would give you more peace of mind and control, it may be worth setting up, and then you can decide whether to keep your accountant or handle the bookkeeping another way. 😊
